Read the visual zone and MRZ separately

The identity page has labelled, human-readable fields and a machine-readable zone, or MRZ, usually at the bottom. They represent the same person but use different technical conventions.

ICAO’s TD3 passport specification provides 39 positions for names in the MRZ, including separators and fillers. Long names can therefore be truncated under the standard. That does not by itself make a passport defective, nor does it make the shortened line the full legal name for every application. Start with the labelled visual fields and follow the application’s instructions.

Keep compound surnames in the correct field

Identify “surname” or “family name” and “given names” on the passport. Keep particles, multiple given names and their order in the fields where the passport places them. Do not move a word simply because a home-country form uses a different layout.

For a fictional example, if the surname is EL MANSOURI and the given names are MOHAMED AMINE, do not move EL into the first-name field. The same care applies to double surnames, hyphenated names and several middle names used by European or North American travellers. If you have only one recorded name, seek the portal’s specific instruction rather than inventing a second one.

Use the passport’s transliteration for accents

The MRZ uses a restricted character set, so accents and some punctuation are represented differently from the visual name. Use the passport’s own Latin-script spelling or transliteration and the instructions of the Saudi form. Do not create a new spelling from pronunciation or a familiar family usage.

If a form accepts only A–Z, compare the passport’s standardised spelling and ask support if the result is unclear. Check the final preview. Airline booking systems may present punctuation differently, but do not assume every missing word or changed order is harmless; ask the carrier to resolve a substantive mismatch.

Do not shorten an overlong name at random

If the website imposes a character limit, record the limit and check any official field instructions. Compare the visual name and MRZ without assuming MRZ truncation is permission to delete words in the application.

Ask support how the complete identity should be represented. Keep the written response and review the eventual visa against it. A cropped screenshot of a “successful” application from someone else is not a reliable rule for your own name.

An incomplete birth date is not permission to invent one

ICAO distinguishes two representations: unknown elements use X in the visual date field, while the MRZ uses the filler character `<` in the relevant date positions. A partial date can therefore be an intentional feature of an official passport, not a scanning failure.

If the visa form demands a complete calendar date, do not automatically enter 1 January, reuse a different date from another document or substitute a guessed value. Save a redacted screenshot of the limitation and ask KSA Visa support or the responsible Saudi representation what to enter before finalising and paying.

Read day/month order carefully. A US-style date and a European-style date can look similar while meaning different days; use the field labels and final preview. Never alter the passport or the issued PDF yourself.

Do not immediately submit another application or edit the PDF to make it appear correct. Check the active record and use our duplicate-application guide if more than one file already exists.

Make a side-by-side final check

Compare the passport, application preview and ticket for surname, given names, order, number, nationality, birth date and expiry. Ask a trusted person to review the fields if useful, sharing no more personal information than necessary.

Should I type accents in the visa form?

Follow the form’s instructions and the passport’s official Latin-script spelling. Use its standardised transliteration where required, rather than creating a new spelling.

Does a truncated MRZ name invalidate a passport?

Not by itself. The ICAO standard permits defined truncation when the name exceeds the available field. The visual fields remain important for the full name.

What if my passport shows an unknown day or month?

Do not guess a date to satisfy the form. ICAO uses different conventions in the visual zone and MRZ; request the application authority’s instruction before paying.
